Government Job Online Form Documents Checklist covers the files and details candidates should prepare before applying for a recruitment. The exact size, format, dimensions, date and certificate rules are notification-specific. This guide uses official application guidance as an example and must not be treated as a replacement for the latest recruitment notice.
Government job application documents checklist
Prepare clear source documents before opening the form. Keep both the original record and a readable scan where applicable. A form may ask for only some of these items at the application stage and ask for the rest during document verification.
| Document or detail | Typical purpose |
|---|---|
| Recent photograph | Identity matching and application record; follow the notification’s date, background and file rules. |
| Signature | Candidate declaration and identity record in the online application. |
| Photo identity proof | Identity verification and, in some examinations, entry to the venue. |
| Educational certificates and marksheets | Proof of the qualification and marks or subjects claimed in the form. |
| Category, EWS, PwBD or other certificate | Reservation, fee exemption or age-relaxation claim where the notification permits it. |
| Experience or service certificate | Proof of post-specific experience, employment or service claim. |
| Address, domicile or NOC | Only where the recruitment rules expressly require the document. |
Photo and signature upload rules for online forms
There is no single universal photo or signature size for every government examination. For example, UPSC’s official FAQ specifies JPG files, a 20 KB minimum and 300 KB maximum for the photograph and signature, along with additional photograph instructions. Another recruiting body may prescribe different rules.
| Check | Correct approach |
|---|---|
| File format | Use the format stated in the current notification or application module. |
| File size | Keep the file within the exact minimum and maximum size given by that recruiting body. |
| Photograph | Use the required background, visibility, date and face-position rules; do not reuse an old image if a recent image is required. |
| Signature | Sign clearly on the required surface and scan only the signature area if the instructions require it. |
| Final preview | Check that the uploaded image is readable and belongs to the correct candidate before final submission. |
Certificates and details to verify before submission
Many application errors happen because the candidate enters a correct-looking value that cannot later be proved. Check every claim against the issuing certificate and the eligibility paragraph of the notice.
| Verification point | What to compare |
|---|---|
| Name and date of birth | Application spelling and date against the identity and educational records accepted by the notice. |
| Qualification | Course, subject, year, marks and recognised institution against the post requirement. |
| Category certificate | Issuing authority, certificate date and format against the reservation rule. |
| Experience | Employer, designation, dates and post-qualification condition where applicable. |
| Photo ID | Number and document type entered in the form must match the ID carried later if required. |
How to avoid rejection after uploading documents
Submit early enough to correct a technical problem within the permitted window. Save the application number, payment receipt and final PDF. Do not submit multiple forms unless the notification explains how duplicate applications are handled.
| Final check | Why it matters |
|---|---|
| Read the notification and correction rules | Some fields and uploaded images cannot be changed after the correction window closes. |
| Review the preview | Wrong photo, signature or category selection can affect candidature. |
| Confirm payment and final submission | A saved draft or incomplete payment is not necessarily a submitted application. |
| Save evidence | Keep the final application, registration number, payment receipt and email or SMS confirmation. |
